Job Description:

As a valued member of the marketing department, the Proposal Coordinator will contribute to a dynamic team by supporting the responses to complex Requests for Proposals (RFPs) and presentations. Reporting to the Proposal Manager, the Proposal Coordinator will implement established best practices and processes to produce business development work product.

  • Coordinate/produce pre-qualification submittals/Requests for Information (RFIs)
  • Prepare general qualifications/presentations
  • Produce RFP responses and presentation materials under the direction of Proposal Manager or other marketing staff including meeting coordination and logistics
  • Review proposal requirements and develop Work Plan drafts
  • Develop a schedule for completion of tasks
  • Request research packages
  • Schedule coordination calls/meetings
  • Work with Presentation Specialist or other creative/marketing staff for specific graphic materials to support proposals/presentations
  • Craft key messages and team differentiation statements to target audience(s)
  • Manage production of drafts and handouts
  • Coordinate with in-house printing or courier services
  • Schedule proposal/presentation review session(s)
  • Coordinate final files and logistics
  • Provide record copies to select lawyers

Content Management:

  • Update content management system as new assets are developed
  • Archive past proposals and presentations to the appropriate locations
  • Maintain/update content in the RFP procedure manual

Marketing Administration:

  • Track and report metrics on proposal activity
  • Complete check requests
  • File and organize marketing tools and materials

  • A Bachelor's degree from an accredited four year college or university
  • A minimum of 2 years of business development, marketing and/or communication experience
  • A minimum of 1 year of law firm experience or a minimum of 3 years of in a professional services environment
  • Demonstrated PC experience required: MS Word, PowerPoint, Excel and Outlook
