Job Summary
The Marketing and Events Coordinator is responsible for supporting the marketing and practice development team in the administration, coordination and implementation of firm events, including seminars, webinars, client entertainment and other special events, firm sponsorships and sponsorship-related events that drive business development, as determined by the Director of Marketing.

The Marketing and Events Coordinator is part of GBQ’s five-person marketing group, and will frequently work as part of a team with members of both the marketing and administration teams, as well as the professional staff. While events are the primary focus, the coordinator will also assist with other practice development and marketing support and special projects.

Tasks:
The Marketing and Events Coordinator is responsible for planning and executing events, including:
-Coordinate internally and with third parties to schedule and execute all aspects of mixers, seminars, webinars and special events both on-site and off-site for our Columbus and Cincinnati offices.
-Manage logistical details for firm events, including:
-Work with internal teams to plan and schedule topics and speakers
-Oversee and update firm wide event calendar and database
-Design and distribute print and electronic invitations
-Create and publish event content on external web site (WordPress)
-Organize and monitor invitation lists and RSVPs
-Assist with presentation and promotional materials
-Manage food and beverage requirements
-Conduct day-of duties including set up/tear down, A/V requirements
-Produce post-event/sponsorship materials including evaluation reports
-Negotiate sponsorship packages and monitor execution to ensure fulfillment of benefits
-Track and report monthly expenses vs. budget
-Research market, identify event opportunities and generate interest
-Other: internal communications, client surveys, client promotion

-Involvement with internally focused projects to improve procedures by participation in committees, technical training, initiatives and other firm related projects.

-Identify opportunities to reduce firm costs.
-Implement tools and processes to improve achievement of practice development objectives and increase visibility of progress against goals.

-Provide a high quality, accurate work product to both internal and external clients.
-Provide solid support to professional staff and respond to requests in a timely manner.

Brand Culture/Development:
-Exemplify brand attributes of the Firm.
-Comply with all policies and procedures of the Firm.
-Demonstrate ability to work individually or in a team environment and address conflict with peers and superiors.

Organizational Relationship:
-Will report directly to a Performance Manager who will provide any necessary guidance relative to work performance through the formal evaluation process.

Knowledge, Skills and Abilities:
-Detail-oriented, self-motivated, articulate, energetic and creative
-Strong editing and proofreading skills
-Proven work experience as an Event Coordinator, Office Coordinator or similar role
-Proficiency in Microsoft Office Suite
-Adobe Creative Suite and WordPress knowledge is a plus

Work Experience and Education:
Qualifications include a Bachelor’s degree, as well as previous experience with event planning and execution, production of materials, program evaluation, and sponsorship
negotiation and implementation. Strong organizational, communication, and writing skills are a must. A minimum of three years of events, sponsorships and/or marketing experience required, with professional services background a plus. Occasional early morning or evening work is required.
